2. Information We Collect
The information we collect depends on the services you request and how you interact with us.
Contact and account information. This includes information you provide when creating an account, submitting an inquiry, or communicating with us, such as your name, email address, telephone number, company or brokerage name, and account details.
Booking and order information. This includes property addresses, appointment dates, selected services, package choices, project requirements, access instructions, billing details, and order history.
Project materials. This includes photographs, videos, floor plans, reference images, editing instructions, and other materials you provide or that we create while delivering services. These materials may contain personal information, such as property addresses, images of individuals, personal belongings, or information visible within a property.
Communications. We retain information you send through the app, email, WhatsApp, text messages, and other messaging applications used to communicate with AAP.
Payment-related information. We receive customer, billing, order, and transaction information made available through our payment providers, as explained in Section 4.
Technical information. Our website, app, and supporting platforms may process technical information such as IP addresses, device and browser information, account activity, access times, and diagnostic information necessary to operate and support their services.
We obtain information directly from you, through your use of our services, from providers supporting your transactions, and from clients or authorized representatives arranging services on your behalf.
Please provide only information relevant to your project. Avoid including passwords, unnecessary identification documents, payment-card details, or other sensitive information in ordinary messages or project files.
3. How We Use Information
We use personal information to manage accounts, respond to inquiries, prepare quotes, schedule appointments, process orders and payments, coordinate production teams, complete editing work, deliver project materials, and provide customer support.
We also use relevant information to maintain business records, troubleshoot technical issues, protect our services, address misuse, resolve disputes, and meet applicable legal obligations.
Where applicable law requires a legal basis for processing, we rely on contractual necessity to provide requested services; legitimate interests to administer, support, and protect our business where those interests do not override your rights; legal obligations for required recordkeeping and compliance; and consent where permission is required for a particular activity.
You may withdraw consent where processing is based on consent. Withdrawal does not affect processing that was lawful before consent was withdrawn.
Some information is necessary to complete a booking or provide a service. Without that information, we may be unable to fulfill your request.
4. Payments and Saved Payment Methods
We use Stripe and Square to process payments.
Information you enter into the payment process is handled through the applicable payment provider. AAP uses the customer, billing, order, and transaction details made available through these services to administer payments, issue receipts, handle refunds, and maintain payment records.
Agents and other customers may choose to save a payment method for future payments through the available card-on-file features. Saved payment methods are managed through the applicable payment provider and used for payments you authorize.
Saving a payment method does not, by itself, authorize unrelated charges.
To request assistance with removing a saved payment method, contact erik.holte@aaprod.org. Removing a saved payment method does not necessarily remove records of completed transactions.
Please submit payment-card information through the designated payment process rather than through email, WhatsApp, app messages, or other ordinary messaging channels.
5. How We Share Information
We do not sell personal information.
We share information when needed to provide our services, administer our business, or meet applicable legal obligations.
Website and app services. We use Wix to support our website and mobile-app services. Information submitted through these services may be processed through Wix’s systems.
Payments. Stripe and Square process payment information and support payment-related functions.
Communication services. We communicate through the app, email, WhatsApp, text messages, and other messaging applications. Information exchanged through these channels may be processed by the provider of the communication service used.
Media hosting, delivery, and storage. We use Aryeo and Dropbox to host, organize, and deliver project materials. We also maintain backups on hard drives.
Editing and production tools. Our workflow includes ChatGPT, PREPS, Imagen, and Fotello. Depending on the project, images, reference materials, and relevant instructions may be processed through these tools for photo enhancement, editing, virtual staging, and related production work. When an external service is used, relevant materials may be transmitted to that service’s provider.
Production professionals. Photographers, videographers, drone operators, editors, and other professionals working on your project may receive the contact details, property information, access instructions, and materials needed to complete their assigned work.
Other necessary disclosures. We may disclose relevant information to professional advisers, insurers, or authorities when necessary to comply with law, respond to lawful requests, address fraud or security concerns, or establish and defend legal rights.
Relevant information may also be transferred in connection with a business sale, merger, or restructuring, subject to applicable legal requirements.
6. Project Images, AI-Assisted Editing, and Publication
Our services involve producing materials that may be intended for public marketing, including photographs, videos, virtual tours, and floor plans.
When publication is part of the agreed service, project materials may be delivered to your designated recipients or published through property-marketing pages, listing platforms, media-hosting services, or other agreed channels.
Use of project materials in AAP’s own portfolio or promotional materials is subject to the applicable agreement, permissions, and legal requirements. This Privacy Policy does not itself grant unrestricted permission to publish private information.
AI-assisted production may involve submitting project materials and editing instructions to the tools identified in Section 5. Contact us before providing confidential or sensitive materials to discuss any restrictions relevant to your project.
Please identify personal photographs, confidential documents, security information, or other private details that should not appear in the finished materials.
7. Cookies, Technical Data, and Advertising
AAP does not currently run advertising campaigns, and we do not sell personal information.
Our Wix-based website may nevertheless use cookies and similar technologies for functions such as account sign-in, security, site operation, performance, and diagnostics. Wix explains that its websites use cookies and that business features and integrations may introduce additional cookies. support.wix.com
The absence of advertising does not mean that no technical or usage information is processed. Our website, app, and supporting services may process information needed to operate their platforms.
You can manage or delete cookies through your browser settings. Restricting essential cookies may affect sign-in or other website functions. Where a cookie-preference control is available on our website, you can also use that control to manage the choices offered.
For questions about cookies or technical information associated with AAP’s services, contact erik.holte@aaprod.org.
8. App Permissions
AAP has not currently specified additional device-permission requirements for the app’s core services.
A property address you enter when booking a service is information you provide; it is separate from permission to access your device’s location.
The app may still process account information, messages, order details, and technical information described in this policy without requiring a special device-permission request.
If we introduce a feature that requires additional device access, we will explain its purpose and request permission where required. You can manage available app permissions through your device settings.
9. Information Security and International Processing
Information security. We take reasonable steps to protect personal information against unauthorized access, loss, alteration, and disclosure. Our storage arrangements include third-party service platforms and local hard-drive backups.
No internet transmission, online service, or storage device can be guaranteed completely secure. Please protect your account credentials and notify us promptly if you suspect unauthorized access.
International processing. Information may be processed in the United States and in other countries where our service providers operate. For example, Wix’s data-processing terms address processing in multiple countries and international transfers. wix.com
The arrangements relevant to your information depend on the provider and service used. Privacy laws in another country may differ from those in your country of residence.
You may contact erik.holte@aaprod.org with questions about the processing arrangements relevant to your information.
10. Information Retention and Access to Project Files
AAP currently does not apply a fixed automatic-deletion schedule to source project files and related information in its storage systems. Project materials are hosted or stored through Aryeo, Dropbox, and hard-drive backups.
Agents retain access to their delivered project files while they have an active account, subject to the applicable service arrangements.
Completing a project, becoming inactive, or uninstalling the app does not by itself erase information from the underlying storage systems.
This storage practice does not remove your right to request deletion or override applicable legal requirements. Account-deletion and personal-information requests are addressed in Section 11.
Certain records may need to be retained for accounting, tax, fraud prevention, dispute resolution, or other lawful purposes. Where information is retained following a deletion request, we will explain the applicable reason and retention period or criteria.
11. Account and Personal-Information Deletion
You may request deletion of your AAP account and associated personal information by emailing:
erik.holte@aaprod.org
Use the subject line:
AAP Account Deletion Request
Please identify your account using its registered email address and state whether you are requesting account deletion, deletion of particular personal information, or both. Do not send your password.
You do not need to reinstall the app to submit a request by email. You may also contact AAP through the app for assistance.
We may request reasonable additional information when necessary to verify your identity.
After verifying your request, we will delete your account and associated personal information, except for specific information that we are legally required or otherwise lawfully permitted to retain, such as records needed for tax compliance, fraud prevention, or legal claims.
Where relevant information is held by service providers acting on our behalf, we will coordinate with them to address the request. Requests also cover relevant personal information in source storage and backups, subject to applicable legal requirements and any permitted retention exceptions.
We will explain the expected completion timeframe and any information that must be retained. We will respond within the period required by applicable law.
Deleting an account may end access to its project files. Please download any materials you wish to keep before requesting account deletion.
Uninstalling the app is not the same as deleting your account.
12. Your Privacy Rights
Depending on where you live and which laws apply, you may have rights to access your personal information, correct inaccurate information, request deletion, restrict processing, object to certain processing, obtain a portable copy, or withdraw consent.
Where the GDPR applies, we generally respond to privacy-rights requests within one month. When a legally permitted extension is necessary, we will notify you within that initial period and explain the reason. European Data Protection Board
To exercise your rights, contact erik.holte@aaprod.org. We will not unlawfully discriminate against you for exercising applicable privacy rights.
You may also complain to the relevant data-protection authority. In Luxembourg, this is the Commission nationale pour la protection des données (CNPD). CNPD
13. Children’s Privacy
Our services are intended for adult customers and business users rather than children.
If you believe a child has provided personal information to AAP inappropriately, contact erik.holte@aaprod.org. We will investigate and take appropriate action, including deletion where required.
14. Third-Party Services and Policy Updates
Our website, app, and project communications may link to payment platforms, messaging services, media-hosting platforms, and other external services.
Those providers may process information under their own privacy notices and service terms. Their policies do not remove AAP’s responsibilities for information we collect or disclose.
We may update this Privacy Policy to reflect changes to our services, practices, or legal requirements. The updated version will display a revised date. Where required, we will provide additional notice or request consent before a relevant change takes effect.
